Who we are

Peacock Assurance is the trading name of Richard Peacock.

Peacock Assurance provides BPSS compliance and personnel security governance services to UK organisations.

For data protection purposes, Richard Peacock is the controller of the personal information described in this notice.

What information we collect

We may collect personal information when you contact Peacock Assurance, submit an enquiry through the website, or enter into discussions about our services.

This may include:

  • your name;

  • business email address;

  • telephone number;

  • organisation and job role;

  • information you provide in correspondence or through the website enquiry form; and

  • information required to administer a potential or existing client relationship.

Please do not submit employee screening records, identity documents, criminal-record information or other sensitive personal information through the website enquiry form.

Why we use your information

We use personal information to:

  • respond to enquiries;

  • discuss potential services or engagements;

  • provide quotations, proposals and engagement information;

  • administer client and supplier relationships;

  • communicate about work being undertaken;

  • maintain appropriate business and financial records; and

  • meet legal, regulatory and contractual obligations where applicable.

We only use personal information where we have an appropriate lawful basis under UK data protection law. Depending on the circumstances, this may include taking steps at your request before entering into a contract, performing a contract, complying with a legal obligation, or pursuing our legitimate business interests. The ICO requires organisations to identify and document an appropriate lawful basis for each purpose.

Who we share information with

We may use trusted service providers to support the operation of Peacock Assurance.

These currently include services used for:

  • website hosting and website enquiry forms;

  • business email and document storage;

  • accounting and business administration; and

  • other professional or technical services where required.

For the website and email services, this includes Squarespace and Microsoft 365.

We do not sell personal information.

We will only share personal information with other organisations where it is necessary, lawful and appropriate.

How long we keep information

We keep personal information only for as long as it is reasonably required for the purpose for which it was collected, or where we need to retain it to meet legal, contractual or business-record requirements.

Information relating only to an initial enquiry will not be retained indefinitely where no engagement proceeds.

Client and financial records may need to be retained for longer periods where required for legal, tax, contractual or professional purposes.

The ICO requires privacy information to explain retention periods or the criteria used to determine them.

How we protect information

Peacock Assurance takes reasonable technical and organisational measures to protect personal information from unauthorised access, loss, misuse or disclosure.

Access to business systems and information is restricted to those who require it for legitimate business purposes.

Your rights

Depending on the circumstances, UK data protection law gives you rights over your personal information. These may include the right to:

  • request access to your personal information;

  • ask for inaccurate information to be corrected;

  • ask for information to be deleted in certain circumstances;

  • restrict or object to certain uses of your information; and

  • request transfer of information in certain circumstances.

This Privacy Notice may be updated as Peacock Assurance develops its services or changes the systems it uses.
